Delete your account or data: OneDArT, Ecologue, KDSmart and other DArT services
Diversity Arrays Technology Pty Ltd (DArT) runs the OneDArT platform and its modules, including NatureIQ and online ordering, the Ecologue and KDSmart mobile apps, KDDArT products such as KDManage and KDXplore, and our newsletters. Use this page to ask us to delete your account, or some of your data, from any of them. You do not need to sign in to use this page.
What you can ask for
- Delete my OneDArT account. We close your account and remove the personal information linked to it. This covers the OneDArT web platform and its modules, Ecologue, and any other DArT service you signed in to with that account.
- Delete some of my data but keep my account. For example, the records you created in one project, the photos or audio attached to your records, your newsletter subscription, or your support history.
- KDDArT products (KDManage, KDXplore, KDSmart). Accounts on a KDDArT server are managed by the organisation that runs it. If DArT hosts your server, tell us and we act on your organisation’s instruction; if your organisation runs its own, contact its KDDArT administrator.
- Customers and collaborators. Orders, samples and results are held under your organisation’s agreement with us. We delete your personal contact details on request; the scientific records stay with the project (see below). Your account manager can help.
- Newsletter only. If all you have is a newsletter subscription, the unsubscribe link in any email removes you; use this page if you also want your details erased from our mailing system.
- OneDArT Data Cloud. Data you or your organisation placed in your Data Cloud bucket (Amazon Web Services, Sydney) is yours to delete directly from the platform. This includes any archived sequence data we copied into the bucket at your organisation’s request. When we delete your account we remove your access to the bucket and your name from its records; the data itself stays with your organisation unless it asks us to remove it.
- DartR. Our open-source R package holds no personal data and runs on your own computer. Projects, datasets and anything stored in your OneDArT workspace will be deleted at your request.
- KDSmart data. KDSmart does not create accounts. Data on your phone is deleted by deleting the trial in the app or uninstalling it. Data you uploaded to a KDDArT server belongs to the organisation that runs that server; we tell you below how to reach them, and we will help if we host the server.
How to make a request
Choose any one of these. All three reach the same team.
- In the app or on the platform. Open About in Ecologue or KDSmart and tap Request account or data deletion, which brings you to this page. On the OneDArT web platform
- Use the form on this page. Fill in your name, the email address on your account, which app or service, and what you want deleted. Submit it.
- Email us. Send a message to privacy@diversityarrays.com with the subject “Delete my account – Your Name”, from the email address on your account.
Request account or data deletion
What happens next
1. We check it is you. Within two business days we email the address on your account with a link to confirm the request. The link works for seven days. If you cannot access that email address, reply to tell us and we will agree another way to confirm your identity.
2. We delete. We complete the deletion within 30 business days (Canberra, Australia), or sooner where the law requires. Most requests finish well inside that.
3. We confirm. We email you when it is done and list anything we had to keep, and why. You can withdraw the request at any time before we confirm completion.
What we delete
When you delete your account we remove:
• your name, email address, phone number and username;
• your organisation membership, roles and permissions;
• your sign-in sessions and tokens, and the app’s stored preferences on our servers;
• your newsletter subscription and marketing profile, and website analytics linked to you;
• the push-notification token and crash-report identifiers for your installation;
• the identifying details on support tickets you raised, keeping the technical content;
• photos, audio and video you attached to records, where your project owner agrees they are not needed.
What we keep, and why
| Kept | Why | How long |
|---|---|---|
| Invoices, orders and payment records | Australian tax and accounting law | 7 years |
| Security and sign-in logs | Detecting and investigating misuse | |
| Scientific records you created for a project, with your name removed | They belong to the project and its organisation, and underpin published research and long-term monitoring | Indefinitely, unless the project owner asks us to remove them |
| Sequence data and reports (fastq, fastqcol, SNP, reports): the DS14 pipeline outputs, the archive copy in Wasabi (Sydney), and any copy placed in your organisation’s Data Cloud bucket | Linked to your organisation and to sample identifiers, not to you; they underpin published research | Indefinitely, unless the customer organisation asks us to remove them |
| Laboratory and sample records in dartDB, with your contact details removed | Quality and contract requirements | Per your organisation’s agreement |
| Information subject to a legal hold or dispute | Legal obligation | Until the matter closes |
| Backups | Overwritten on a rolling cycle |
Records you created for a project, such as observations, GPS points, photos and survey tracks, stay with that project. We remove your name from them. If you want those records removed as well, ask the organisation that owns the project. Your project administrator can see, export and delete them.
Data on your phone
Deleting your account does not remove data stored on your device.
- Ecologue. Sign out or uninstall the app. Records that have not synced to your project are lost when you uninstall, so sync first if you want to keep them.
- KDSmart. Delete individual trials in the app, or uninstall. Export first from the Manage Devices screen if you want a copy. We do not hold a backup of KDSmart data.
If your organisation manages your account
Many Ecologue and KDSmart users are given access by their employer, a research institution or a project partner. If so, that organisation controls your project data and may be the right place to send your request. Tell us anyway: we will delete what is ours to delete and pass the rest to your organisation’s administrator with your consent.
For KDSmart, your data is on the KDDArT server your organisation chose. If DArT hosts that server (Sydney or Frankfurt), we act on your organisation’s instruction. If your organisation runs its own server, contact your KDDArT administrator.
If you are in the EU or the UK
You have the right to erasure under Article 17 of the GDPR and UK GDPR, sometimes called the right to be forgotten. We act on your request within one month. If it is complex we may take up to two further months, and we will tell you within the first month if so. We may keep some information where the law requires it, or where erasing project records would seriously impair scientific research or archiving; in those cases we remove your identifying details and keep the record. Where we have shared your data with a project organisation, we tell them about your request. Our representative for EU and UK privacy matters is Gavin Tomlins, privacy@diversityarrays.com. You may also complain to your local data protection authority.
