To help us receive and process your order successfully, clear and accurate documentation is essential. This includes the documentation required to meet government regulations, as well as clear identification of samples and requirements for our lab processes.

Tip
The documentation you will need to provide with your shipment depends on whether you are sending samples from inside or outside Australia. Please read the Domestic ordering checklist or International ordering checklist to see what you need to do. Generally, import and export permits are only required if you are sending samples to us from outside Australia.

Export Permits

Please check your country’s requirements if you need an export permit to send your samples to Australia. Make sure you check these requirements before sending your samples to avoid delays or destruction of your samples.

Import permits and Manufacturer’s/Supplier’s Declaration

When sending samples to Australia, to meet strict Quarantine laws, a Manufacturer’s/Supplier’s Declaration needs to be completed for each shipment, and this may need to be accompanied by a relevant import permit.

Make sure you provide the correct Manufacturer’s/Supplier’s Declaration and all other required documents to your courier when you ship your samples both as hard copies and electronically .

You can use our templates below as a guide.

Animal Fluids and Tissue Permit
Please ensure the permit that you are including in your samples is valid for your shipping dates. If in doubt, please include both versions of permits.

Templates for Manufacturer's/Supplier's Declarations:

Your Manufacturer's Declaration states how and why your samples meet Australian import regulations. It tells Australian Customs that your samples have been prepared correctly, pose no potential threat or harm and are safe to import into Australia.

By completing and signing a Manufacturer’s Declaration you are declaring that the statements in the Declaration are true and correct.

Make sure you provide accurate information. We are not liable for any false or misleading statements that may result in your samples being seized and/or destroyed by the Australian Customs.

CITES Permit

In addition to export/import permits, if your species of interest is protected and listed under the Convention on International Trade in Endangered Species of Wild Fauna And Flora (CITES) you will need to apply for a CITES export permit from your country and import permit into Australia.

Please email samples@diversityarrays.com and we can guide you through this process. You will need to apply for both permits and pay all the expenses associated with it.

Proforma Invoice

The Proforma invoice template can be obtained from your selected courier company or you can download a template here.

Document Distribution

Changes to courier document processing
We are aware that some couriers are changing how they manage your documents including permits and manufacturer’s declarations. You might need to provide your documents digitally as well as including a printed copy with your shipment box. The process will depend on your courier. Make sure you check with your courier on how to provide documentation to avoid delays in customs.

For international shipments, we recommend you print three copies of all documents and keep digital copies. You may need to upload or provide digital copies to your courier. In fact the upload of electronic version of documents into the system provided by courier company is highly recommended as it will speed up the processing at the border.

What do you need to do?

  1. Include one printed copy of your documents in an envelope marked ‘Australian Customs’, and attach the envelope to the outside of your shipment box.  You must ensure this step is followed or your samples may be returned or destroyed.
  2. Provide a second copy to your courier. Depending on your courier, you may be prompted to provide or upload digital copies of your documents when you book your shipment instead as well as a printed copy. Please check with your courier when you book your shipment to avoid delays. We recommend you provide the documentation to the courier when they collect your samples. Providing the documentation later may result in delays.
  3. Keep the third copy for your reference in case it is needed later for Quarantine clearance.
Important
Make sure you regularly monitor your shipment with your courier to avoid any issues or delays. Be aware that failure to follow these instructions may result in your samples being returned or destroyed. If you have any questions please contact us before you ship your samples.

What courier should I use?

We recommend you use DHL or Fedex for shipments. If using another courier you will need to ensure they are able to electronically supply your documentation to Australian Customs.  Find out more about recommended couriers.Animal DNA (Permit #7694302)
